Description

One of the largest and top private country clubs in North America, Desert Mountain Club, is looking for a Catering & Events Coordinator!

 

In this role, you will be responsible for assisting the Director of Catering and Catering Sales Managers in delivering a world-class experience to our members and guests for onsite and offsite events through effective and proactive communication and coordination with members and staff for all catering and events. You will report directly to the Director of Catering.

 

The ideal candidate will radiate energy, genuine friendliness, and a passion for weddings. Must be detail-oriented and have a talent for multitasking with grace under pressure. Knowledge of current trends and traditions in the various wedding markets is a must. At least 1 year of admin/coordinator experience in F&B, catering, and weddings in a private club, resort or hotel is required.

JOB DETAILS

Responsibilities:

  • Secure, coordinate and respond to member inquiries regarding the purchase of food and beverage, rental of event facilities and purchase of ancillary services from the Club. This includes Weddings, In-House Events and Clubhouse Events.
  • Host and entertain members; draft contracts and promote facilities and services.
  • Communicate and provide direction and supervision to teammates to execute catering events.
  • Generate Banquet Event Orders (BEOs) and support weekly distribution of BEOs and changes.
  • Attend weekly Catering meetings noting any changes and handling any operational questions and concerns.
  • Update all BEOs from Catering meeting and resend to appropriate departments.
  • Coordinate and maintain the Catering files, marketing collateral, vendor accounts.
  • Respond to member inquiries; request and resolve issues in a timely, friendly, and efficient manner.
  • Maintain Catering calendar for all Club activities (i.e. catered events, sport events, social clubs, golf course closings, etc.) in a timely manner to avoid double booking.
  • Code Catering invoices and maintain log primary expense accounts for vendors, as well as wedding P and L’s.
  • Prepare TotalE billings, Billing corrections, Deposits, Temporary Accounts & Payments for catered events on an as needed basis with Accounting.
  • Follow-up on all invoices for all Club sponsored or Member sponsored catered events to ensure accuracy and completion in a timely manner.
  • Assist with answering the Director of Catering and Catering Sales Managers phones.
  • Assist Director of Catering with ordering from vendors.
  • Create and generate floor plans using AllSeated.
  • Manage and coordinate department social media and website (i.e. Instagram and Pinterest).
  • Communicate with vendors for events (i.e. linen rental, florals, equipment needs etc.).
  • Design and create:
    • Themed dinner menus for private and member plated events.
    • Place cards or name tags for select events.
    • Buffet signage to match the theme of each event.
  • Other duties as assigned by Director.

Physical Requirements & Working Conditions:

  • Required to stand for long periods of time.
  • Required to push, pull, lift and/or move up to 50 pounds – Frequently 
  • Required to work days, nights, weekends, holidays, and overtime if needed.
