Position: Wedding and Social Events Coordinator

Department: Events

Supervisor: Wedding and Social Events Manager, Director of Events and Communications

Summary of Responsibilities: 

The Wedding and Social Events Coordinator provides essential logistical and administrative support to the Events team. This role is a key 'boots-on-the-ground' presence, ensuring every wedding and social function is executed to Fiddler’s Elbow’s high standards of excellence.

Essential Functions:

  • Assistin planning and coordination of events
  • Create table menus, tablenumbersand signs for events
  • Build wedding brochures
  • Receive items dropped off for events
  • File event records
  • Create and managefloor plansfor events
  • Be actively involvedateventsincludingsetup of décor, serving event guests,assistfront of the house and back of the house staff throughout events
  • Ensure proper storage of weddingeventinventory, décor, and personal items
  • Assistinweddingtastings,weddingrehearsalsanddinners
  • Assistinroomsetup for indoor and outdoorceremonies
  • Maintain the visual integrity of event spaces, ensuring all décor, signage, and floral arrangements are perfectly placed according to the BEO (Banquet Event Order)
  • Assistwith running fundraisers, corporateeventsand private events
  • Assistwith otherclubfunctions as needed
  • Will be working weekends, latenightsand holidays
  • Communicate with theculinarydepartment on all events

Required Education/Experience:

  • High School Diploma or equivalent required 
  • A degree or current enrollment in Hospitality Management, Event Planning, or a related field is a strong plus
  • Minimum of 6–12 months of experience in a high-volume hospitality environment (country club, luxury hotel, or event venue)

Required Qualifications:

  • A sharp eye for "the little things",from perfectly aligned table menus to the precise placement of ceremony chairs
  • The ability to think on your feet and remain calm under pressure during fast-paced live events
  • A true team-player mindset; willing toassistboth "Front of House" (service) and "Back of House" (culinary/setup) to ensure an event’s success
  • Ability to manage multiple administrative tasks (filing, floor plans, brochures) while staying on top of a demanding event schedule
  • Mustpossessprofessional verbal and written communication skills to effectively interact with a sophisticated membership and guest base
  • Proficiencyin Microsoft Office Suite (Word, Excel, Outlook) 
  • Mustpossessthe ability to work effectively under pressure andmaintainexcellent service standards
  • Must have excellent listening skills and an eagerness to provide excellent service

Physical Requirements:

  • Ability to stand and walk for extended periods (8–10+ hours) during large-scale weddings and social functions
  • Frequent bending, stooping, reaching, and wiping toassistwith event setup and "room turns"
  • Capability to safely lift and move event-related items, décor, or small furniture weighing up to 30 lbs.
  • Comfort working in various environments, including climate-controlled indoor ballrooms and outdoor ceremony sites in varying weather conditions
  • Combination of sitting in office environment and working events
  • Ability to handle many tasks at once

Working Conditions:

  • This is not a 9-to-5 role. Must be available for a flexible schedule including late nights, weekends, and holidays (when most social events occur)
  • High-energy hospitality setting with exposure to kitchen heat and outdoor elements
  • Must be able to work indoor and outdoor environments

Safety Hazards:

  • General food and beverage environment with some exposure to heat from cooking areas
