The Events Coordinator brings the Sarah O. experience to life through thoughtfully curated events and elevated visual storytelling across our stores. From concept through execution, this role plans and delivers memorable events while also owning the visual presentation of our retail spaces between events, ensuring every detail feels intentional, inspiring, and unmistakably Sarah O.
Working closely across Production, Design, Marketing, and Store Operations, the Events Coordinator keeps projects moving and teams connected, ensuring events and visual moments are beautifully executed, on-brand, on-time, and within budget.
We’re looking for a proactive, highly organized, and creative self-starter who thrives in a fast-paced retail environment. The ideal candidate has a strong eye for detail, loves bringing ideas to life, and is genuinely excited about creating memorable experiences that make our guests feel welcomed, inspired, and connected to the Sarah O. brand.
What You’ll Do
- Partner cross-functionally to build a strategic, rolling annual events plan, refreshed quarterly six months ahead.
- Plan and execute all Sarah O. events: pop-ups, Sip & Shops, in-store events, collection launches, customer appreciation and community events, and team gatherings.
- Own event logistics end-to-end: venue selection, vendor negotiation, catering, entertainment, transportation, setup, and breakdown.
- Develop and manage event budgets, timelines, and staffing in coordination with Sales Operations.
- Lead visual merchandising across both stores: product allocation, displays, props, signage, and overall presentation.
- Maintain the everyday store experience, from the Bubbly Bar to fresh florals and gift-wrap supplies.
- Coordinate pop-up travel, product, and client appointments (via Acuity), ensuring each experience is fully prepared and on-brand.
- Manage vendor relationships to secure optimal service and pricing, and ensure compliance with health, safety, and legal requirements.
- Create event briefs and KPIs, then pull metrics and ROI after each event and report results to leadership.
- Lead event planning for new store openings as the company expands, including grand-opening and launch events.
What We’re Looking For
- 3+ years in an event management or event coordinator role.
- Exceptional organizational, communication, and interpersonal skills, written and verbal.
- A proven relationship-builder who fosters teamwork and can lead cross-functional groups toward a shared goal.
- Calm and creative under pressure, comfortable with last-minute changes while keeping an eye on every detail.
- A proactive self-starter who seeks out projects and new opportunities.
- Flexible to work evenings, weekends, and travel as needed; able to lift 25 to 50 lbs occasionally.
- Has a personal vehicle for business use (mileage reimbursed).
- Proficiency with Google Suite and Asana are a plus.
