JOB SUMMARY
The Assistant Floral Design Manager supports the Floral Design Manager in all aspects of the floral business, including studio operations, staffing, supply management, event sales, bid preparation, execution, and staff development. This position ensures the seamless functioning of the floral studio while upholding The Houstonian Hotel, Club & Spa’s luxury standards and Sage’n’Bloom’s reputation for exceptional florals.
In addition to design responsibilities, this role provides operational leadership, staff training, and direct support in event planning and execution. The Assistant Floral Design Manager acts as the Manager’s right hand, stepping into leadership as needed to maintain consistency, client satisfaction, and operational excellence.
This role requires flexibility, including evenings, weekends, holidays, and occasional independent work to address client needs. A high level of discretion and professionalism is expected.
ESSENTIAL JOB FUNCTIONS
Leadership & Manager Support
• Assist the Floral Design Manager with daily operations, staffing schedules, workflow, and quality control.
• Serve as acting lead when the Manager is unavailable, ensuring standards are maintained.
• Provide administrative support, including vendor communications, supply orders, invoicing, and client billing.
Operations & Supply Management
• Manage floral inventory and supplies to ensure cost efficiency and readiness for daily and event needs.
• Source products and maintain vendor relationships.
• Monitor usage, control waste, and support monthly reporting.
Staffing & Development
• Train, mentor, and support studio staff to ensure consistent design quality and operational performance.
• Maintain housekeeping and organizational standards.
• Assist with scheduling and team coordination.
Event Sales & Execution
• Support client consultations, proposals, and bid preparation.
• Help develop accurate and profitable contracts.
· Able to perform workshops independently as assigned.
• Lead or assist in event setup, breakdown, and staff coordination.
• Maintain professional client relationships.
Floral Design & Service
• Execute floral designs for installations, guest arrangements, and events.
• Collaborate on creative direction and large-scale installations.
• Recommend design solutions aligned with client budgets and timelines.
• Deliver exceptional guest service as a studio representative.
Marketing & Studio Presence
• Assist with marketing calendar, seasonal promotions, and merchandising.
• Maintain the studio calendar of events and daily orders.
• Respond to inquiries, Shopify orders, and client requests.
• Support floral recipe creation, orders, and wholesaler visits.
• Demonstrate knowledge of flower and plant varieties, properties, and pricing.
• Handle phones, orders, arrangements, and guest communications.
• Assist with window displays, inventory, invoicing, and reporting.
• Maintain a safe, clean, and organized studio.
KNOWLEDGE AND SKILLS
•High School Diploma.
•Minimum 2 years of luxury floral design experience.
• Strong organizational, communication, and customer service skills.
• Ability to prioritize, multitask, and perform under pressure with professionalism.
• Creative and detail-oriented with strong design ability.
• Proficient in Microsoft Office; familiarity with POS, inventory, and retail software (Shopify a plus).
• Social media and design software experience a plus.
• Flexible schedule required, including evenings, weekends, holidays, and peak floral periods (Valentine’s, Mother’s Day, Christmas, etc.).

PHYSICAL JOB REQUIREMENTS
Must be able to meet the following minimum physical requirements for at least an eight-hour shift:
• Physical Stamina: Frequent standing, walking, climbing ladders and stairs, kneeling, reaching overhead, lifting and carrying various objects weighing up to 50 lbs. Must be able to work safely and effectively in outdoor temperatures. This position requires working indoors in a floral shop environment and outdoors for plant care and event setups. The role may involve exposure to varying temperatures and conditions. Must be comfortable working in a physically demanding environment and with various floral materials and equipment. This position will work in a fast-paced environment, with the potential for off-site events. The floral design studio may have varying temperatures to ensure flower freshness, and the role may require extended hours during peak event seasons.
• Hearing / Speech: Must be able to effectively engage in one-on-one communication with guests, members, and customers and use a 2-way radio to communicate clearly and accurately with co-workers.
• Vision: Must be able to accurately read instructions, reports, and log sheets. Must be able to work with computers and PDAs in varying light conditions.
• Literacy: Must be able to produce, read and understand reports, including security, incident and police reports. Must be able to analyze and process written information from a variety of sources and effectively communicate content of reports.
• Chemicals/Agents: Must be able to work safely with chemicals according to SDS sheets and all applicable laws, codes and regulatory requirements
